Your private workspace

TextSync is a private, encrypted workspace. Your passphrase encrypts everything in your browser before it leaves your device — the server only ever stores ciphertext and can never read your notes.

• Enter your passphrase on the lock screen to unlock your vault
• On first use you will be asked to name this device — this name appears in the meta bar above each note
• Your passphrase is saved to this device for convenience; use Lock to clear it
• Your passphrase cannot be recovered if lost — choose something strong and keep it safe
• Use ⚙ Settings → Change passphrase to change it at any time

Each note is an independent note stored separately in your encrypted vault.

• Click + New Note (pinned to the left of the note bar) to create a note
• Double-click any note label to rename it inline
• Drag notes left or right to reorder them
• Click a note then use ← / → arrow keys to navigate between notes
• Use the ‹ › chevrons to scroll the note bar when many notes are open
• When all notes are deleted the welcome panel is shown

Right-click any note to access:

• 📌 Pin / Unpin — pinned notes stay at the left and cannot be dragged; pin state syncs across devices
• 🎨 Colour — assign a colour dot for visual grouping; colour syncs across devices
• ⧉ Duplicate — creates a copy with "Copy of…" label, saved immediately
• ↓ Export note — download this note as .txt or .json
• ✕ Delete other notes — delete all notes except this one (with confirmation)
• → Delete notes to the right — delete all notes to the right of this one (with confirmation)

Search across all notes — click the 🔍 icon in the header:

• Searches both note labels and note content in real time as you type
• Results show the note name and a matching text snippet with the term highlighted
• Click a result to switch to that note; the find bar opens pre-filled with your query
• Press Enter to jump to the first result; Escape to close

Find in the current note — press Cmd+F / Ctrl+F while the editor is focused, or tap the 🔎 icon (mobile/tablet only):

• Floating find bar appears at the top of the editor
• Shows current match / total matches (e.g. "2 of 5")
• Use ▲ ▼ buttons, Enter (next), or Shift+Enter (previous) to cycle through matches
• Matched text is highlighted in your accent colour
• Press Escape or × to close

Find & Replace in the current note — press Cmd+H / Ctrl+H, tap the 🔎 icon with the replace row visible (mobile/tablet), or click the ▼ chevron in the find bar:

• Reveals a replace row with a Replace input, Replace and All buttons
• Replace — replaces the current match and advances to the next; press Enter in the replace field to do the same
• All — replaces every match in the current note in one step; press Cmd+Enter / Ctrl+Enter in the replace field as a shortcut
• To skip a match without replacing, press Enter in the find field or click ▼ to advance
• Replace All is fully undoable with a single Cmd+Z / Ctrl+Z

• Click the list icon in the header to open the notes overview sidebar
• Lists all notes with last-modified date, word count, and device name
• Click any row to switch to that note
• Sort by: Last modified, Name A–Z, or Word count; use the ↑/↓ toggle button to reverse the current sort order
• Notes inside groups appear under their group header with the group name and colour shown
• Filter by tag using the tag pills at the top of the sidebar
• The note count badge on the list icon shows the total number of notes
• Click outside or press Escape to close the sidebar
• Click Recently deleted at the bottom of the sidebar to open the trash

Tags let you label and filter notes across your vault.

• Right-click any note and choose Tags to open the tag picker for that note
• Type to create a new tag or select an existing one from the list
• Tags appear as small pills beneath each note in the overview sidebar
• Click a tag pill in the overview to filter the list to notes with that tag
• Tags sync across devices as part of the note record
• Each note can hold up to 20 tags; each tag up to 50 characters

Smart Groups automatically organise notes by tag — no manual assignment needed.

• Right-click any note → New Smart Group… to open the Smart Group creator; select a tag and the group will instantly contain all notes with that tag
• Group membership is always derived from the tag — adding or removing a tag from a note automatically updates which Smart Groups it belongs to
• A note can appear in multiple Smart Groups if it has multiple matching tags
• Smart Groups appear in the note bar as a coloured label with a ▶/▼ collapse toggle; collapsed groups show only the label and note count
• Notes that belong to at least one Smart Group are shown under their group headers, not in the flat note list
• Right-click a group label to rename it or delete it; deleting a Smart Group does not affect the notes or their tags
• Group name, colour, tag filter, and collapsed state all sync across devices
• Smart Groups also appear as collapsible folder headers in the Notes Overview sidebar
• Use Settings → Display → Group focus mode to dim or hide notes outside the active group

Deleted notes are moved to trash and held for 30 days before being permanently purged.

• When you delete a note, an Undo banner appears at the top of the workspace with a 10-second countdown — click Undo to restore the note immediately without a server request
• If the countdown expires, the note is soft-deleted and moved to trash
• Open trash from the 🗑 icon in the header, or from Recently deleted at the bottom of the overview sidebar; both show a badge count when items are present
• Each trashed note shows its name, deletion date, device, and days remaining before permanent deletion
• Restore — brings the note back to the note bar immediately
• Delete — permanently removes the note from your vault straight away
• Empty trash — permanently deletes all trashed notes at once
• Notes older than 30 days are purged automatically the next time you open the trash

• Notes save automatically 800 ms after you stop typing
• The status pill in the header shows Saving…, All saved, or Save failed
• If a save fails, a red banner appears below the header with the error detail
• Every 30 seconds TextSync checks for changes made on other devices and updates silently
• The meta bar above each note shows when it was last saved and which device saved it
• Conflict detection — if a note is updated on another device while you have unsaved local edits, an amber banner appears with two choices: Keep mine or Use server version

Open the ⚙ settings button in the header to access:

• Device name — change the name shown in the meta bar above each note
• Auto-lock — set an inactivity timeout (Off, 5 min, 15 min, 30 min, 1 hour, 2 hours); the session locks automatically and clears the passphrase from memory
• Change passphrase — re-encrypts all notes in your browser with the new passphrase before committing; session stays unlocked with the new passphrase
• Display — choose between Auto (follows your system), Light, and Dark themes; preference is saved across sessions
• Editor font — choose the font used in the note-writing area from eight options (DM Mono, Inter, Nunito, Lora, Literata, JetBrains Mono, Fira Code, Playfair Display); stored locally per device and not synced
• Group focus mode — choose how the tab bar behaves when the active note belongs to a group: Off shows all notes normally, Dim fades notes outside the active group, Hide shows only the active group's notes; switching to an ungrouped note always restores the full tab bar

All exports are entirely client-side — no server request, exported directly from decrypted content in memory.

• Export all notes — open ⚙ Settings and click Export as .txt or Export as .json
• Export a single note — right-click any tab and choose Export note as .txt or Export note as .json
• .txt — plain text format for human reading and simple archival. Includes label, content, last-modified date, and device name. Does not preserve tags, groups, or creation metadata.
• .json — structured format for full data portability and re-import. Preserves all metadata: label, content, tags, group assignments, timestamps, device, pin state, colour, and creation info. Use this format if you need to preserve all note information.
• Re-importing notes — imported notes are added alongside your existing notes; nothing is overwritten. JSON imports restore all metadata; TXT imports create notes with defaults.
• Filenames include today's date (e.g. textsync-export-2026-03-22.txt)

• Encryption: AES-GCM 256-bit via the browser's native Web Crypto API
• Key derivation: PBKDF2 / SHA-256 with 310,000 iterations
• A random 12-byte IV is generated per encryption operation
• The server only ever receives opaque base64 ciphertext — your raw text is never transmitted
• Your passphrase is identified by a SHA-256 fingerprint — the raw passphrase never leaves your device
• Use Lock to sign out and clear the passphrase from this device's memory and localStorage
• Use Auto-lock in Settings to lock automatically after inactivity

All shortcuts use Cmd on macOS and iPad, and Ctrl on Windows and Linux.

Shortcuts are only active when the workspace is unlocked.

Right-click any note and choose Analyse note to open a detailed breakdown of the note's content.

• The analysis modal shows four sections: Overview, Readability, Content, and Structure
• Overview — word count, character count, sentence count, paragraph count, and estimated reading time (based on 238 wpm)
• Readability — average word length, average sentence length, longest word, and most frequent word
• Content — vowel count, consonant count, digit count, URL count, email count, and hashtag count
• Structure — line count, blank line count, and tab count
• Click Copy to clipboard to copy the full analysis as plain text

TextSync automatically saves a version snapshot every time a note is saved, keeping up to 10 versions per note.

• Right-click any note and choose Version history to open the history panel
• The left sidebar lists up to 10 versions with timestamp, word count, and device name
• Click any version to preview its content in the right panel
• Click Restore this version to replace the current note content with the selected version — the restored content is saved automatically
• History is stored encrypted on the server alongside the note

• Max 500 notes per vault
• Max 512 KB encrypted content per note — a size warning appears in the editor footer at 80% and 95%
• Note labels up to 200 characters
